Terms & Conditions
These terms & conditions apply to direct reservations made with Casa Reina Silvia. By completing a reservation, the primary guest acknowledges and agrees to the terms below on behalf of all guests included in the booking.
1. Reservations & Payments
A reservation is confirmed upon receipt of a deposit equal to 50% of the total reservation amount.
The remaining 50% balance is due 14 days before arrival.
Reservations made within 14 days of arrival must be paid in full at the time of booking.
Failure to complete payment by the applicable due date may result in cancellation of the reservation.
Accepted payment methods may include credit card through our secure booking platform and direct bank transfer, as available at the time of booking.
2. Cancellation Policy
We understand that plans can change. The following cancellation policy applies to direct reservations:
30 days or more before arrival: The 50% deposit is fully refundable.
Between 14 and 29 days before arrival: The 50% deposit is non-refundable.
Less than 14 days before arrival: The full reservation amount is non-refundable.
Cancellation requests must be submitted in writing by email or WhatsApp.
Any applicable refund will be returned to the original payment method whenever possible. Processing times may vary depending on the financial institution or payment provider.
We strongly recommend purchasing travel insurance to protect your reservation against unexpected cancellations, illness, travel interruptions, weather events, and other circumstances that may affect your trip.
Certain peak periods, including Christmas, New Year, and Easter, may be subject to different payment or cancellation conditions. When applicable, these conditions will be clearly communicated before booking and displayed during the reservation process.
3. Security Deposit
A $500 USD security deposit pre-authorization will be placed on the credit card associated with the reservation one day before arrival.
This is a temporary authorization hold, not a charge. Provided no additional charges are required, the hold will be released three days after departure. The time required for the funds to become available again may vary depending on the guest's bank or credit card provider.
Guests are responsible for damage to the property, furnishings, equipment, or other items caused by themselves or members of their group beyond normal wear and tear. Additional charges may also apply for missing items or excessive cleaning resulting from the stay.
Where permitted by the payment authorization provided at booking and applicable law, amounts may be charged or claimed against the security deposit to cover these costs. If the cost of damage, replacement, or excessive cleaning exceeds $500 USD, the primary guest remains responsible for the additional amount. Guests are asked to notify the host promptly if accidental damage occurs so that the situation can be addressed as quickly as possible.
4. Check-In & Check-Out
Check-in: 3:00 PM
Check-out: 10:00 AM
Early check-in and late check-out may be available upon request and are subject to availability. They are not guaranteed unless confirmed by the host.
Guests are expected to respect the scheduled check-out time so the property can be properly prepared for incoming guests.
5. Maximum Occupancy & Registered Guests
Casa Reina Silvia accommodates a maximum of 6 overnight guests across the Main House and Casita combined.Only guests included in the reservation are authorized to stay overnight at the property. Additional visitors, gatherings, or changes to the registered guest count require prior approval from the host. Exceeding the maximum occupancy or hosting unauthorized gatherings may result in additional charges or, in serious cases, termination of the stay without refund.
6. House Rules
Casa Reina Silvia is located within a quiet residential gated community. Guests agree to respect the property, the community, and neighbouring residents throughout their stay. Smoking is not permitted inside the Main House or Casita. Guests who wish to smoke must do so outdoors and away from indoor areas. Pets are not permitted unless expressly approved in writing before arrival. Parties, events, and gatherings exceeding the approved guest count are not permitted without prior written authorization. Quiet hours are observed between 10:00 PM and 6:00 AM in accordance with community rules. Music and other noise must be kept to a respectful level, particularly during these hours. Glassware is not permitted in or immediately around the pool areas. Suitable drinkware is provided for poolside use. Guests are expected to follow the property instructions provided at check-in and in the guest guide, including instructions relating to plumbing, waste disposal, appliances, pools, air conditioning, and community rules. Repeated or serious violations of the house rules may result in termination of the stay without refund where reasonably necessary to protect the property, community, or other persons.
7. Property Care & Cleaning
Professional end-of-stay cleaning is included with the reservation. Guests are not expected to professionally clean the property before departure, but the Main House, Casita, outdoor areas, furnishings, and equipment should be left in a reasonably tidy condition. Excessive cleaning, significant staining, missing items, or damage beyond normal use may result in additional charges.Guests are encouraged to use water and electricity responsibly and to turn off air conditioning when leaving the property or when exterior doors are left open.
8. Pools & Outdoor Areas
The Main House pool and Casita plunge pool are private amenities reserved for registered guests and approved visitors. Guests use the pools, rooftop terrace, outdoor areas, and other property amenities responsibly and at their own risk, subject to applicable law. Children must be supervised by a responsible adult at all times around the pools and other areas requiring additional care.Guests are responsible for following all safety instructions provided at the property. Regular pool and garden maintenance may take place during a guest's stay. We make reasonable efforts to minimize disruption and respect guest privacy while ensuring the property is properly maintained.
9. Experiences & Third-Party Services
Casa Reina Silvia may assist guests with local recommendations, introductions, or reservations for experiences and services such as surf lessons, tours, transportation, catamaran excursions, private chefs, wellness services, and other activities. Unless expressly stated otherwise, these experiences and services are provided by independent third-party businesses or professionals and are not operated by Casa Reina Silvia.
Third-party services are subject to the individual provider's availability, pricing, cancellation policies, terms, safety requirements, and other conditions.
Guests are responsible for reviewing and accepting any applicable provider terms before participating.To the extent permitted by applicable law, Casa Reina Silvia is not responsible for the acts, omissions, cancellations, schedule changes, service quality, or other performance of independent third-party providers.
10. Circumstances Beyond Our Control
Occasionally, circumstances outside our reasonable control may affect the property, travel to the area, or a guest's stay. These may include severe weather, natural events, temporary utility or internet interruptions, road conditions, government actions, community-wide service interruptions, or other unforeseen events.
Casa Reina Silvia will make reasonable efforts to assist guests and address issues affecting the property when possible.
However, circumstances outside our reasonable control do not automatically entitle guests to a refund, reimbursement, or compensation, except where required by applicable law or expressly provided under the applicable cancellation policy.
Travel insurance is strongly recommended for this reason.
11. Personal Belongings & Liability
Guests are responsible for their personal belongings throughout their stay. An in-room safe is provided for valuables.
Casa Reina Silvia is not responsible for loss, theft, or damage to personal belongings except to the extent responsibility cannot lawfully be excluded.
Guests are responsible for using the property and its amenities with reasonable care and for following safety instructions provided by the host.
Nothing in these Terms & Conditions is intended to exclude or limit any liability or consumer right that cannot legally be excluded or limited under applicable law.
12. Photography & Commercial Use
Guests are welcome to take photographs and videos of Casa Reina Silvia for personal use and to share their stay on personal social media. Tagging @casareinasilvia is always appreciated. Professional or commercial photography, filming, productions, promotional shoots, or other commercial use of the property require prior written approval.
13. Accuracy, Availability & Booking Errors
We make reasonable efforts to ensure that property descriptions, rates, availability, photographs, and other information presented on our website and booking platform are accurate and current. In the event of an obvious pricing, availability, technical, or system error, Casa Reina Silvia reserves the right to correct the error and contact the guest promptly to determine an appropriate resolution, subject to applicable law.
14. Privacy
Personal information collected in connection with inquiries, reservations, payments, and use of our website is handled in accordance with our Privacy Policy.
15. Governing Law
These Terms & Conditions and direct reservations with Casa Reina Silvia are governed by the laws of the Republic of Costa Rica. Any dispute relating to a reservation or stay will be handled in accordance with applicable Costa Rican law and the jurisdiction of the competent Costa Rican authorities and courts. Nothing in these Terms & Conditions limits any rights available to guests under applicable consumer protection laws.
16. Agreement
By completing a direct reservation with Casa Reina Silvia, the primary guest confirms that they have read, understood, and agreed to these Terms & Conditions and accepts responsibility for ensuring that all members of their group are aware of the applicable property rules. If any provision of these Terms & Conditions is found to be invalid or unenforceable, the remaining provisions will continue to apply to the extent permitted by law.
